Vehicle service reminders turn a garage into a predictable business

Introduction
Servicing is one of the few things in the motor trade that happens on a schedule. The interval is known, the mileage is predictable, and the customer will need it whether or not anything breaks.
Most garages nonetheless wait for the customer to remember, which converts predictable work into a queue that depends entirely on other people's diaries. It is the largest recoverable revenue in the sector and it requires no advertising.
1. Vehicle service reminders work because the date is already known
You know when the car was last serviced, roughly how many miles it does, and therefore approximately when it is due.
That is a forecast most businesses would pay for. Recording it and acting on it is the difference between a garage with a diary it can plan against and one that reacts to whatever arrives.
2. Capture the data at the current visit
The system fails at collection, not at contact.
Record the service date, the mileage, the customer's contact details and their consent to be reminded. Also record any work they declined, because that is a second reason to be in touch. Two minutes at handover makes the next twelve months plannable.
3. Contact before it is due, not after
A reminder that arrives once the service is overdue is a chase.
Contacting a few weeks ahead lets the customer plan and lets you fill a specific week in your diary. It also reaches them before whoever else is advertising for that work, which is usually a franchise dealer with an automated system.
4. Use more than one channel
A single message on one channel reaches a predictable minority.
A message, then an email, then a phone call for the ones who have not responded and are now overdue. Older customers in particular are lost entirely by garages that have moved to text only, and they are frequently the most loyal.
5. Make it about their car, not about your diary
Generic reminders are ignored. Specific ones are not.
Reference the vehicle, the date of the last service, the mileage then, and anything you noted at the time. "Your Focus is due its next service around March, and we noted the rear pads were getting low" is information; "your service is due" is a mailshot.
6. Bundle the declined work into the reminder
Every service produces items the customer chose to defer.
Those are now overdue and they are the strongest possible reason to make contact. Reminding someone that the item you agreed could wait until next time has reached next time is helpful, expected, and considerably more likely to convert than a cold offer.
7. Make booking effortless
The reminder is wasted if acting on it requires a phone call during working hours.
Include a booking link or a reply-to-book option, and make sure someone answers when they ring. Every additional step between intent and appointment loses a share of the people who were willing.
8. Give the system an owner
Reminders fail because they are everyone's job in quiet moments, and quiet moments do not arrive.
Assign it to one person with scheduled time, measured on bookings recovered rather than messages sent. In most garages this is the highest-value administrative role in the business and is treated as filler work.
9. Track overdue vehicles and reminder conversion
Two numbers.
How many vehicles on your records are past their service interval — that figure is the opportunity, and almost no garage knows it. And what proportion of reminders produce a booking, which tells you whether the message and the timing are right.
