AI and the month end close: getting numbers out faster

Introduction


A small business that closes its month three weeks after it ended is making decisions on the basis of information about a period that is already over. By the time the figures arrive, the next month is nearly finished, the problem they reveal has had five weeks to develop, and the response is retrospective.

The delay is almost never caused by the accounting itself. It is caused by waiting: for supplier invoices to arrive, for someone to code them, for a stock figure, for a timesheet, for a reconciliation nobody has had time to do. Shortening the close is therefore an exercise in removing dependencies rather than in working faster, and most of it is achievable without changing systems at all.

2. Find out what you are actually waiting for

List every item the close depends on and when each one arrives. The critical path is usually two or three items, and everything else is comfortable. Attacking anything other than those two or three changes nothing.


3. Accrue rather than wait


The largest single lever.

Waiting for the last supplier invoice to arrive delays everything for a figure you can estimate accurately. An accrual based on the order or the delivery is materially correct and removes days from the close.


4. Automate the coding of routine transactions


Where the volume is.

Recurring supplier invoices, subscriptions, utilities and standard expense categories can be coded by rule with high accuracy. This removes the largest block of manual work and leaves the judgement items for a person.


5. Reconcile continuously, not at the close


Move work out of the critical path.

Bank, card, supplier statements and control accounts reconciled weekly mean there is almost nothing to do at period end. This is the same total work performed at a better time.


6. Automate the variance commentary as a first draft


A genuine use for drafting help.

Comparing this month against budget and prior year, and describing the movements, is mechanical. Explaining why is not, and the draft usefully forces the question rather than answering it.


7. Publish a small number of figures early


Better than a complete pack late.

Revenue, gross margin, cash and debtors, available three days after period end, are worth more to most owners than a full set of statutory-quality accounts three weeks later.


8. Keep the checks that catch errors


Speed must not remove control.

Control account reconciliations, review of unusual journals, and a comparison against expectation. A fast close that produces wrong numbers is worse than a slow one, because decisions follow it.


9. Write down the close process and improve one step a month


How it actually gets faster.

A checklist with owners and target days, reviewed after each close. Choosing the single worst step each month and fixing it compounds quickly, and it is more effective than attempting a redesign.

Any statutory reporting, filing and audit requirements sit alongside this and vary by jurisdiction and entity type. A faster internal close is a management improvement and does not change those obligations.
